Shipping charge complaint back and forth
Oct 28, 2025 08:35 PM
Hi Michael,
Thanks for the detailed feedback and the update. That all sounds good. For your next order, please just send over the item list and quantities, and I’ll prepare a full quote including all associated charges before we proceed.
Regarding the packaging sizes — can you clarify whether your comments apply only to frozen shipments, or are you also seeing similar issues with lyophilized/ambient shipments? Our ambient QC should already be going out in appropriately sized boxes.
If it’s related to frozen shipments, only certain cooler sizes are currently validated to maintain dry-ice conditions throughout international transit. That limits our flexibility somewhat, but I’m happy to review what options we have if you can share a few more specifics on which product types this concerns.
Appreciate you bringing this up — optimization here could definitely help reduce freight costs. Looking forward to your notes so we can explore improvements together.
Thank you,
Andrew Hartmann

Subject: RE: Utak Shipping Charges
Hi Andrew,
Thanks again for confirming all the details around the shipping setup – that’s clear from our side. We’ll move forward with DAP (Dorking) and have UTAK arrange FedEx shipments with itemised charges. If anything needs adjusted vs. what the current process is, please liaise with @Mariusz Dabrowski, our logistics manager, who will take over ongoing logistics coordination.
One area we’d like to improve is packaging optimisation. From our review, some of the higher shipping costs seem to come from using the same box size for every order. To help reduce freight costs, can you confirm whether UTAK can use different sized boxes depending on order size, for example:
Order Type Approx. Weight Suggested Box Type
1–5 QC vials <1 kg Small box – compact carton or insulated mailer
Frozen QC shipment <5 kg Medium insulated shipper – enough space for required dry ice
Mixed QC order 5–10 kg Large insulated box – for multiple kits or mixed frozen items
We’d also like to receive an itemised pre-quote for every shipment showing the full breakdown (FedEx cost, handling, and dry ice). This will help us quote our customers accurately before orders are placed and keep things aligned on both sides.
Once a few shipments have gone through, we’ll review the setup together – packaging, costs, and courier arrangements – to make sure it’s all running smoothly.
Thanks again for working with us to get this process right.
Best,
